Joining the HEAJ!

The enrolling procedure commits you to the school for the duration of the school year.

WATCH OUT: Every file must be complete. In order to be examined and validated by the HEAJ it must at least contain the qualification required for admission (CESS, temporary CESS or another diploma). As long as you don’t have this document, please don’t apply.

How to apply?

The information below is based on the 2021-2022 Study Regulations.

Whatever the situation you are in, you will have to provide the following documents:

  • A Belgian or foreign ID (double-sided), valid at least at the time of enrolment.

  • The original provisional version of the CESS (High school diploma), with the date and signature of the head of school as well as the school stamp – The copy of the baccalaureate (or its mark transcript) – the copy of another diploma

  • If you are born after 13th September 2004 you have to provide a parental permission as well as a double-sided copy of the ID of your parent or legal guardian.

  • Provide the copy of the certificate equivalence (for the CESS) or, failing that, the proof of the submitted request for the certificate of equivalence to the Fédération Wallonie-Bruxelles before 15 July 2021 or the proof of the registered mail and/or the proof of payment of the administrative fees relatives to the certificate of equivalence request.

5. You’re a non-EU student and you’re staying in Belgium with a Belgian residence permit

Besides the above-mentioned documents relative to your history, you also have to provide a household composition issued by the local administration of your place of residence as well as a document proving you meet the assimilation criteria (see the assimilation criteria).

6. You’re a non-EU student and you’re not living in Belgium

In this case, a derogation from the school is necessary. The written and justified request must be sent to the head of the concerned department by registered mail. The complete file must be introduced between 1 May and 31 May 2021 for the 2021-2022 school year.

Beside the above-mentioned documents relative to your history, you also have to provide a cover letter as well as a CV containing all your activities since you obtained the qualification required for admission in higher education.

Here are the assimilation criteria.

7. You’re a non-financeable student because of your academic career.

Full procedure

You can register online from 8 May 2021 until 31 October 2021 for the 2021-2022 school year.

Two exceptions require a registration with a physical file:

  • The students from non-EU countries who are not living in Belgium and who register at the HEAJ for the first time: the files must be submitted following the procedure explained under Point 6.

  • The students who are non-financeable because of their academic career : the files must be submitted following the procedure explained under Point 7.

Examination by the HEAJ:

Your online registration form will be examined by the HEAJ from 17 June 2021 onwards. Don’t expect to hear from us before this date. The HEAJ is closed from 16 July to 15 August; the files which come in between 15 July and 16 August will be examined from 17 August 2021 onwards.

For the physical registration files (students from a non-EU country not living in Belgium and registering at the HEAJ for the first time), you will hear from us between 8 and 18 June 2021.

What should you do once you’re file has been examined?

You will receive an email from the HEAJ. It will tell you if your registration request is accepted or denied (non-financeable student, admission criteria not met…). If your file is accepted you absolutely have to pay (at least) the deposit to confirm your registration. As long as it hasn’t been paid, you’re not registered.

French isn’t your mother tongue but you would like to register for a Bachelor’s in the pedagogical department

You must prove your French language proficiency by providing:

  • A pass certificate issued by an education institution from the Communauté Française in higher education.

  • Or a Belgian or foreign diploma recognising the final study cycle in a secondary or higher education institution whose teaching language is French.

Cancelling your registration request or your registration

If you wish to cancel your registration request, inform the student secretariat from the concerned department by letter or email.

If you wish to cancel your registration (your file has been examined by the school and you’ve paid the deposit confirming your registration), inform the student secretariat from the concerned department of your decision by letter or email. Please add your contact information and your bank account number. The date on which the email was sent or the letter was stamped is considered as the cancellation date.

  • If the cancellation takes place before 1 December, the deposit remains due to the school.

  • If the cancellation takes place after 1 December no reimbursement will take place and all the registration fees will remain due.

  • If you obtained your CESS (or another equivalent diploma) at the end of the 2020-2021 school year and that you cancel your registration before 14 September the total amount you paid will be refunded.

Partial immersion in English (computer graphics)

The students who wish to follow the classes of the first year in English have to inform the student secretariat (+32 (0)81 24 70 30 – infographie@heaj.be) before 9 September 2021.

WATCH OUT: You must at least have reached the B2 level in English.

What should I do once my registration has been accepted?

Watch out

  1. The registration conditions can be modified according to changes in the legal texts in effect.

  2. Please note that in case of an incomplete file the service taking care of registrations will not be able to validate your registration and will ask you to complete your file. The documents which are not written in French must be translated by a translator sworn by the Belgian Court.

  3. In order to avoid any future problems, we prefer to inform you that a fake declaration or omission of prior activities (including the production of falsified documents) will result in you losing your status of lawfully registered student for three years.

  4. The files are examined in the order they are received.

  5. Pre-registration files are not registration files. In any case it is necessary to complete the registration file.
