Outgoing student procedure

The students or teachers who want to apply for an Erasmus or Erasmus Belgica mobility will follow the procedures below in order to prepare their grant request file:

Erasmus mobility for studies

Fill in the Erasmus application form mentioning among others the reason(s) for applying, the chosen destination(s) and the chosen duration. This form will have to be filled in before:

  • April 30th of the previous academic year in case of an Erasmus stay in the 1st term
  • November 15th of the current academic year in case of an Erasmus stay in the 2nd term

After receiving their department coordinator’s consent the students will receive the necessary information in order to apply to the chosen university.  If accepted the following documents will have to be completed:

  • the Learning Agreement
  • copy of the results obtained until then (copy of the school report)

On the basis of these documents the institutional coordinator will draw up 2 examples of the Erasmus study Financial Agreement with the following annexes:

  • the Learning Agreement
  • the attendance certificate
  • the Erasmus final report form for the beneficiary

All these documents as well as the Erasmus charter will be handed over to the students during an information session before departure.

The attendance certificate and the final report will have to be filled in at least one month after the end of the period abroad.


For Erasmus (EU) / FAME (outside the EU) work placements

After successful completion of the current academic year and after receiving their department coordinator’s consent the students interested in a work placement grant will have to send the following document before October 5th of the current academic year:

Fill in the Erasmus application form mentioning among others the reason(s) for applying, the chosen destination(s) and the chosen duration.

This form will have to be filled in for October 5th of the current academic year at the latest.

However, for students wishing to spend a placement outside the EU, it is recommended to send the application form earlier in order to start the administrative paperwork (passport, visa, work permit) on time.

A selection and allocation procedure will then take place.  The students will receive a firm answer within 10 working days after October, 5th. For stays outside the EU, the international service may give a positive answer some days after reception of the application.

At that time if the student is allocated a grant, the institutional coordinator will draw up an Erasmus  placement Financial Agreement with the following annexes :

  • the attendance certificate
  • the Erasmus work placement agreement
  • the work placement report
  • the International office’s questionnaire for testimonials

All these documents as well as the Erasmus Charter will be handed over to the students during an information session during which the student will sign the financial agreement and receive a copy of it.
